Passwords, Expiry & Access Controls
Every share link can have access controls that limit who can use it, when it works, and how many times it can be used. You can set these when you first create a link or change them at any time later.
Set a password
Section titled “Set a password”A password means the recipient must type it in before they can see or download the file.
- Create a share link (or go to Share Links in the sidebar and click the edit icon on an existing link).
- Toggle Password Protection on.
- Type a password in the password field.
- Optionally, type a password hint in the hint field. The hint is visible to anyone who opens the link, so do not put the actual password in the hint.
- Click Save.
When someone opens the link, they see a password prompt. They must type the exact password you set before they can access the file.
Tip: Send the password through a different channel than the link itself. For example, send the link by email and the password by text message. That way, if someone intercepts one, they still cannot access the file.
Remove a password
Section titled “Remove a password”- Go to Share Links in the sidebar.
- Find the link and click the edit icon.
- Toggle Password Protection off.
- Click Save.
The link now works without a password, effective immediately.
Set an expiry date
Section titled “Set an expiry date”An expiry date makes the link stop working automatically after a date you choose.
- Create a share link (or edit an existing one from the Share Links page).
- Toggle Expiry on.
- Choose one of the preset options: 1 day, 7 days, or 30 days. Or select Custom and pick any date from the calendar.
- Click Save.
After the expiry date passes, anyone who clicks the link sees a message saying it has expired. The file stays safe in your account — only the link stops working.
Good for: time-sensitive documents (contracts, job offers), temporary access for contractors, event invitations, anything you do not want available indefinitely.
Remove or extend an expiry date
Section titled “Remove or extend an expiry date”- Go to Share Links and click the edit icon on the link.
- To remove the expiry entirely, toggle Expiry off.
- To extend it, change the date to a later one.
- Click Save. Changes take effect immediately.
Set a download limit
Section titled “Set a download limit”A download limit makes the link stop working after a certain number of downloads.
- Create a share link (or edit an existing one).
- Toggle Download Limit on.
- Enter the maximum number of downloads allowed (for example, 5, 10, or 100).
- Click Save.
After that many downloads, the link stops working. This is useful when you want to share with a specific group and do not want the link forwarded and used by others.
Remove or change a download limit
Section titled “Remove or change a download limit”- Go to Share Links and click the edit icon on the link.
- To remove the limit, toggle Download Limit off.
- To change it, enter a new number.
- Click Save.
Set view-only mode
Section titled “Set view-only mode”View-only mode lets recipients see and preview the file but prevents them from downloading it.
- Create a share link (or edit an existing one).
- Toggle View Only on.
- Click Save.
Recipients can open the link and view the file in their browser, but the download button is not available to them.
Turn off view-only mode
Section titled “Turn off view-only mode”- Go to Share Links and click the edit icon.
- Toggle View Only off.
- Click Save. Recipients can now download the file.
Restrict access by email
Section titled “Restrict access by email”Email restriction means only the specific email addresses you list can access the link. Anyone else who gets the link sees “access denied.”
- When using Share by Email (right-click a file, choose Share by Email), add the recipient email addresses.
- The email addresses you enter are automatically saved as the allowed emails for that link.
- Only those email addresses can access the link. The recipient must verify their email to prove they are the intended person.
You can also add email restrictions when editing an existing link:
- Go to Share Links and click the edit icon.
- Find the Allowed Emails field.
- Type an email address and press Enter to add it. Repeat for each allowed address.
- Click Save.
Schedule a link (active from / active until)
Section titled “Schedule a link (active from / active until)”You can set a window of time when the link is active. This is useful for timed releases, such as making files available at a specific date and time.
- Create or edit a share link.
- Set the Active From date and time. The link does not work before this date.
- Set the Active Until date and time. The link stops working after this date.
- Click Save.
Example: You want to share exam materials that become available Monday at 9:00 AM and are no longer accessible after Friday at 5:00 PM. Set Active From to Monday 9:00 AM and Active Until to Friday 5:00 PM.
Change any setting later
Section titled “Change any setting later”All access controls can be changed at any time after the link is created.
- Go to Share Links in the sidebar.
- Find the link you want to change.
- Click the edit icon.
- Change any setting: password, expiry, download limit, view-only, allowed emails, or schedule.
- Click Save.
All changes take effect immediately.
Combining multiple controls
Section titled “Combining multiple controls”You can use any combination of controls on the same link. The link stops working as soon as any limit is reached.
Example: A link with a password, a 30-day expiry, and a 10-download limit. The recipient must enter the password. The link stops working after 30 days or after 10 downloads, whichever comes first.

How to disable (revoke):
Section titled “How to disable (revoke):”- Go to Share Links.
- Find the link and click Revoke.
- Confirm. The link stops working.
- To re-enable: click the enable button on the same link.
How to delete:
Section titled “How to delete:”- Revoke the link first.
- Click Delete on the revoked link.
- Confirm. The link is permanently removed.
